Email in Live Tourney
Live Tourney offers dynamic email within the application so that you can communicate with players regarding upcoming events. In this article, you will learn how to write, send, and manage emails in the Live Tourney native email interface.
Who to Email
Your target audience for any given email will change depending on the content and intent of your communication. Within Live Tourney, we allow admins to email from many different parts of the product to ensure they are contacting the right audience.
- Clubs: As you learned in a previous article, clubs are simply subsets of players within your roster. By selecting the roster tab, you can see a list of clubs, as well as a green email icon to message players belonging to a specific club.
- Leagues: Within the league tab in Live Tourney, select your league, then press the green email icon on the top right of the page to directly message individuals tied to a league.
- Events: Regardless of event type, the dropdown menu next to any given event within the dashboard will have a send email option which will target players tied to the specific event.
- For registration based events, the email will only go to players who have registered.
Writing your Email
Adding Emails
First, you will notice two green drop downs showing which players have emails and which do not. Reference our previous article on ways to add email addresses to your roster. You will have the option to select who should be emailed (individuals vs all players).
Writing Emails
Our intuitive interface will feel familiar as you are prompted with a text box, text editor/formatting options, subject line, and the flexibility to add a reply to address and name of sender.
Dynamic email functionality means you can leverage custom fields in an email to tailor key information based on who is receiving the message. For example, this message is providing the recipient with their scorecard code, which will change depending on the individuals grouping.
We provide a list of relevant dynamic fields based as well as an example draft below so that your communication is polished and ready to send.
Attachments can be added to any given communication, which can be useful when sending something like a tee sheet.
Once your email is complete, you have the option to “Schedule Email” so that you can control when the email is automatically sent.
For frequently used emails, the user can also save their messages as templates to be reused in future emails.
Automating Email
Live Tourney Automations, accessible via the main dashboard, allow the admin to set up automated, scheduled email cadences around events.
By leveraging this email automation feature, the user is able to create dynamic, scheduled, templated emails to any club as scaffolding to their automated registration event creating.
Viewing Previous Emails
By selecting the “communications” tab on your Live Tourney Dashboard, you can see previously sent emails and their respective details. By clicking on an email subject, you will see the email. Here’s an example of the email output.
